You need a strategic, consistent team approach to practice promotion and marketing and the team huddle is one sure-fire way to make this happen.

Team focus on practice promotion and marketing is absolutely critical for the modern practice. A regular and active presence on social media is necessary to promote your practice to your target clientele. This requires producing content of varying nature that is informative, educational, interesting and fun.

Word of mouth and 'word of mouse' are the two main streams for new clients, especially like-minded clients who want and value the same things.  Your top priority and objective must be to increase 5 star reviews and recommendations online and in social media in order to build a stellar reputation.  This takes systems and a determined mindset.

People need to know, like and trust you before they commit so promoting your practice appropriately is key.  Your practice needs to have systems in place to do this on a daily basis.

What to do at the huddle:

The providers and team will nominate clients who are happy with the service and treatment they receive, to ask for a review online.

You will also identify any treatment that day that a client would consent to allowing on social media (photo or video) as well as clients who would be happy to take a 'happy snapshot' with the dentist.

Front desk must also identify any clients who are coming in from promotions the practice is running.  Finding out more about why the client chose your practice and acted on the promotion will assist you to assess your marketing strategies. Ensure the team are focused on these clients and delivering what is expected from the promotion.

Collect and share this information every single day at your huddle:

  1. Candidates for referrals and reviews
  2. Treatment marketing opportunities
  3. Clients scheduled through promotions
  4. Social media opportunities

"But we don't have a huddle meeting!"

If you're reading this blog, I assume you realise how important marketing and a social media presence is to the success of your practice.  You also know that it takes time, effort and some expense to do so.  Some elements can be outsourced but creating the personalised and 'real' content needs to be produced by your team. This has to be a streamlined and efficient process so it's easy to do and isn't a burden or nuisance.

Making it part of your daily routine, planning for it and factoring in accountability/responsibility - means it gets done.  Huddles are a critical part of organising and planning for success instead of reactive, stressed out days.  It's a game changer.
